Gmail Sync for Mac

This tutorial demonstrates how to sync your Gmail or Google Apps mail with your Apple computer. If you’d like to set up your Google Contacts and Calendars as well, this process can take care of all of that!

If you’re just launching the Apple Mail application for the first time, enter in your Gmail / Google Apps account and password, and click continue. If you’re computer has issues locating your address, you’ll need to enable IMAP access inside of your Gmail / Google Apps account. To enable this access:

  1. Click the Settings gear in the top right corner of your inbox
  2. Select Settings
  3. Click the Forwarding and POP/IMAP tab
  4. Select Enable IMAP
  5. Save your changes

Return to the setup process in the Apple Mail application and you should be all set! Enabling IMAP access allows you to preserve the folders functionality on your desktop. This converts all Gmail labels to folders, and if you create a folder on your desktop it will act as a label inside of Gmail.

Gmail and Google Apps users can easily sync their Google Calendars with their Mac by following these simple steps. It’s important to keep in mind that any calendar found in the My Calendars section of Google Calendars will sync with your Mac, along with your Contact’s Birthdays and Events.

  1. Open the Apple iCal application
  2. In the toolbar, click Calendar, then Preferences
  3. Next, click the Accounts tab
  4. In the accounts section on the left, click the + button to add an account
  5. Enter the following information:

Account Type: Google
Email Address: Enter your Gmail or Google Apps email address (yourname@gmail.com or yourname@yourdomain.com)
Password: Enter the password for the email address you listed above

Google Contacts Sync for Mac

  1. Open the Contacts application on your Apple computer
  2. Inside the application, go to Contacts, then Preferences
  3. Click the Accounts icon and click the + at the bottom of the window
  4. In the window that pops up, enter the following:

Account type: CardDAV
Username: your Gmail or Google Apps Account
Password: your Gmail or Google Apps password
Server address: google.com

After the sync process is complete, any contacts made on your Mac will sync with your Google account, and any contacts made in your Google account will sync to your Mac.

If you keep calendars in internet accounts—for example, iCloud, Yahoo, or another CalDAV account—you can use the accounts in Calendar on your Mac, and access all your calendars and events in one place.

Add a calendar account

  1. In the Calendar app on your Mac, choose Calendar > Add Account.

  2. Do one of the following:

    • Select your calendar account provider, click Continue, then follow the onscreen instructions.

    • If your calendar account provider isn’t listed, ask your provider for the information you need to enter.

      Choose Other CalDAV Account, click the Account Type pop-up menu, then choose an option based on the information you need to enter.

      • Automatic: Choose this option if you just need to enter your email address and password.

      • Manual: Choose this option if you need to enter your user name, password, and the server address.

      • Advanced: Choose this option if you need to enter your user name, password, server address, server path and port number. You can also select checkboxes if you need to use SSL or Kerberos v5 authentication.

Each account you add is listed separately in the sidebar. If the sidebar isn’t showing, choose View > Show Calendar List or click Calendars in the toolbar.

Set up your iOS and iPadOS devices to use the same account, so that your calendars stay up to date across all those devices and your Apple Watch.

Stop using a calendar account

You can temporarily stop using an account so that its calendars and events no longer appear in Calendar on your Mac.

  1. In the Calendar app on your Mac, choose Calendar > Accounts, then select the account you want to stop using.

  2. Deselect the Calendar checkbox.

To use the account again in Calendar, select the Calendar checkbox. The account’s calendars and events reappear.

Delete a calendar account

If you no longer want to use an account in any app, including Calendar, you can delete the account.

Note: If you use iCloud Keychain, and you remove an account (other than your primary iCloud account), you’re asked whether to remove the account from your other Mac computers that use iCloud Keychain, or just turn off all the account features on this Mac.

  1. In the Calendar app on your Mac, choose Calendar > Accounts, then select the account you want to delete.

  2. Click the Remove button at the bottom of the account list.

You can view, add, and modify events, and respond to invitations, in the Calendar app on all your devices that use the same accounts. You can also view, add, and modify your iCloud calendar events, and respond to invitations, on iCloud.com. Changes you make show up everywhere, so you always have your most current calendar events at hand. Calendar notifications also appear on your Mac and other devices that use the same accounts.

If you use Handoff, you can switch between your Mac and other devices while creating, modifying, or viewing events and calendars. To open an event or calendar handed off to your Mac, click the Handoff Calendar icon that appears at the left side of the Dock.
